1. Status of this document
This version is an informational draft for review. It is not yet the final legal policy of Zaxon SAS and must not be published to production until corporate information is completed and legal review is obtained. The English text is a convenience translation; the legally reviewed Spanish version will govern.
2. Controller and channels
Zaxon SAS acts as controller when it decides how personal data is processed. Provisional channel: zaxon@outlook.com. Phone: +57 321 810 0456.
To be confirmed before production: tax identification number, principal place of business, physical address, and the area or person responsible for data requests.
3. Current website scope
Contact forms prepare a message in the individual’s browser and open WhatsApp so it can be reviewed and sent. The website does not transmit or store completed fields, receive files, provide user accounts or payments, or use approved analytics.
When a person chooses to send the message through WhatsApp or uses another external channel, that provider may process information under its own terms and policies.
4. Information that may be processed
If a person voluntarily contacts Zaxon, identification, contact, role, organization, commercial context, and documents they choose to share may be received.
Credentials, sensitive data, drawings, or confidential information should not be sent before the corresponding agreement is in place.
5. Preliminary purposes
Responding to requests, coordinating meetings, assessing opportunities, preparing proposals, managing pre-contractual or contractual relationships, protecting channels, and complying with legal obligations.
Subsequent marketing communications will require the applicable authorization and must allow the individual to request deletion.
6. Individual rights
Individuals may know, update, correct, and request deletion of their data; ask for proof of authorization when applicable; learn how data has been used; withdraw authorization where permitted; file complaints with Colombia’s Superintendence of Industry and Commerce; and access their data free of charge.
7. Retention and security
Zaxon must retain data only as long as necessary for the informed purpose or to meet legal and contractual obligations, applying reasonable administrative, technical, and organizational measures. Specific periods must be approved before production.
8. Changes and effective date
Draft date: August 8, 2026. Any material change must be communicated through an appropriate channel, and the current version must remain available on the website.
